THE SHORT VERSION

We need enough to
make the work happen.

Holumiq keeps the account, analysis, and billing information needed to provide your private library and support the service.

Your control matters

Delete individual analyses from the library, delete your account from Settings when eligible, or contact support for another data request.

01 / SCOPE

What this notice covers.

Holumiq is operated by Holoop Labs (Registration No. 202603250373), a business registered in Malaysia and responsible for the personal information described in this notice. In this notice, “we”, “us”, and “our” refer to Holoop Labs.

This notice describes the Holumiq website and Chrome extension, including accounts, video analysis, saved results, support, and billing.

The Terms of Service explain the rules for using Holumiq.

02 / INPUTS

What Holumiq receives.

We collect the information needed to provide, support, and improve Holumiq.

Account
We receive your account identifier, email address, and display name from Clerk, together with the authentication information needed to protect your account and connect your work to you.
Your submissions
When you submit a video for analysis, we process the link and the information needed to create and save the analysis, such as available transcript text, video details, results, and status information.
Chrome extension
On YouTube watch pages, the extension reads the current video details and available transcript to show a local preview. When you connect your account, it stores a revocable session token in Chrome local storage. When you request an analysis or use account features, it sends the information needed for that request to Holumiq.
Conversations and feedback
We process questions, answers, and feedback you send so we can provide the requested feature, respond to you, and improve the service.
Billing
Our payment providers handle payment information. We receive the limited billing and subscription information needed to manage your access.
Service information
We may collect limited usage and diagnostic information needed to operate, secure, and improve Holumiq.

Sources of information

We receive information directly from you when you sign in, submit content, ask questions, make payments, or contact us. We also receive account information from Clerk, billing information from Stripe, video details and available captions from YouTube or the Chrome extension, and technical information from your browser and service providers.

Required information

Account information and authentication are required for features that need a signed-in account. A video link and available transcript are required for video analysis, and a question is required to use chat. Payment information is required to purchase a paid plan. If you do not provide the information needed for a feature, we cannot provide that feature; you may still use features that do not require it.

Optional information

Submitting feedback or a support enquiry is optional. You may choose not to use chat, connect the extension, or purchase a paid plan. These choices do not prevent you from using other available features, subject to your plan limits. Avoid including sensitive personal information or other people’s private information in submitted content.

03 / PURPOSE

How we use the data.

  • Authenticate you, keep analyses scoped to the right account, and show your private library.
  • Process your submitted content, create analyses, answer related questions, and return the results to you.
  • Manage plans and payments, provide support, and understand how the service is used.
  • Review bug reports, feature requests, and general feedback, and contact you about a submission only when you permit it.
  • Protect Holumiq, prevent misuse, troubleshoot problems, and maintain the service.
  • Meet legal, security, fraud-prevention, and record-keeping obligations.

We use your content only as needed to provide and support the features you choose to use.

04 / PROCESSORS

Trusted providers help us run Holumiq.

We work with trusted service providers that help us operate Holumiq, such as providers for account access, payments, hosting, storage, customer support, and automated analysis. They may receive personal information only as needed to provide their services to us.

Analysis uses available YouTube captions or transcripts. We do not download or retain video playback audio for this feature. Text needed for summaries, related questions, and rewrites is sent to an AI provider to produce the requested result.

The Chrome extension uses information from YouTube pages only to show its video preview and provide the analysis features you request. We do not sell extension user data or use it for personalized advertising. Our use of information received through the extension follows the Chrome Web Store User Data Policy, including its Limited Use requirements.

Clerk · accountsClerk handles sign-in and account authentication. We receive your account identifier, email address, and display name to associate your saved work with your account.
Stripe · paymentsStripe processes payment details and subscriptions. Holumiq receives customer and subscription identifiers, payment status, and billing-period information to manage your access.
Hosting, storage, and network providersWe use Railway for application hosting and database storage, and Cloudflare for network delivery and protection. Providers used for your request may process application data and technical request information.
OpenAI and DeepSeek · AI processingText needed for analyses, summaries, chat, and rewrites is sent to OpenAI as our primary AI provider. DeepSeek is enabled as an alternative or fallback. If a fallback is used, the text needed for the request may be sent to that provider too.
PostHog · analyticsPostHog processes product events, account or browser identifiers, and technical usage attributes as described below.
Sentry · error monitoringSentry receives error reports and technical diagnostic information. Our integration disables session replay and performance tracing and applies filtering to reduce sensitive information in reports.

International processing

Service providers may process or store information outside your country, including outside Malaysia. The location depends on the provider and the region configured for the service. This may include submitted text sent for AI processing, account information, billing information, and technical analytics or diagnostic data.

We may change providers as the service evolves and will update this notice when a material change affects how information is handled.

05 / MEASUREMENT

Service measurement is purposeful.

We use limited service and usage information to understand whether Holumiq is working well, improve the experience, manage plans, and prevent misuse. We use PostHog to receive event names and limited technical usage attributes, such as whether an analysis began or finished, its origin, selected summary language, duration bucket, and processing time.

Our application event properties exclude transcripts, chat message text, submitted video URLs, contact details, credentials, and payment details. Analytics also collects the technical information described below. Automatic interaction capture and session recordings are disabled. Signed-in events use a stable account identifier rather than an email address.

When you delete your account, we also request deletion of the corresponding PostHog person and associated analytics. PostHog processes historical event and recording deletion asynchronously.

Cookies and browser storage

We use cookies and browser storage for sign-in and service functions. The app also stores visit information in local storage and signup-event state in session storage. PostHog may also receive page and referring URLs, browser or device details, and session identifiers. This technical information may be collected even though automatic interaction capture is disabled. Browser controls can clear or block cookies and storage, but doing so may affect sign-in and other features.

06 / LIFECYCLE

Your analysis has a clear lifecycle.

Your saved analyses remain available in your account until you remove them or delete your account, subject to information we need to keep for security, billing, disputes, or legal reasons.

Analyses
When you remove an analysis, we delete its saved record from the active service, subject to limited backup and legal retention needs.
Account information
We retain account information while your account is active and as needed to provide the service or meet our obligations.
Feedback and support
We keep feedback and support information for as long as reasonably needed to respond, improve the service, and maintain our records.
07 / SAFETY

Security and abuse controls.

We use reasonable administrative, technical, and organizational safeguards designed to protect information and reduce the risk of unauthorized access, loss, misuse, or alteration.

No internet service is completely secure. Please protect your account and do not submit information that you would not want processed through an online service. If you see suspicious activity, contact us promptly.

08 / CHOICES

Your rights and choices.

You may contact Holoop Labs using the email below to request access to or correction of your personal information, ask for a copy, request deletion, or ask about limiting processing. Where processing relies on your consent, you may ask to withdraw that consent. We assess requests under applicable law and explain any information that must be retained or any effect on features that require the information.

Tell us which account and information your request concerns, without sending your password or full payment details. The self-service deletion controls apply to the app workflow; you can still contact us about your privacy rights while work or billing is active. If a privacy concern remains unresolved, you may contact the relevant data protection authority, including Malaysia’s Personal Data Protection Department where applicable.

  • Remove an individual analysis from the library using the product control where available.
  • Ask us to correct account details or explain what data is associated with your account.
  • Delete the account and its app data directly from Settings, subject to completing active work and ending active billing first.
  • Raise a privacy concern through the support address below.

We may ask for information needed to verify that a request belongs to the account, and some records may need to remain for security, billing, dispute, or legal reasons.

09 / CONTACT
